Who I am
Terra Fitness & Mind is run by me, Tom Withers, as a sole trader based in the West Midlands. I'm responsible for any personal information you share with Terra. If you have any questions about this policy or your information, email me at

What I collect, and why
When you get in touch. If you fill in a form on this website or message me, I collect your name, email address, phone number (if you give it) and whatever you write to me. I use this to reply to you and talk about whether I can help.
When you sign up for the free guide or my emails. I collect your name, your email address and which guide you've chosen. I use this to send you the guide and my fortnightly emails. You can unsubscribe at any time using the link at the bottom of every email.
When you work with me. If you become a client, I'll collect what I need to coach you safely and well. That includes your contact details, your goals, your progress and check-ins, and relevant health information, such as injuries, medical conditions or anything affecting your training or wellbeing. I'll only collect health information with your clear consent, and I'll only use it to keep you safe and coach you properly.
Payments. I keep records of invoices and payments, because the law requires me to.
This website. This website may use cookies to work properly and to understand how people use it. You can control cookies through your browser settings.
The legal basis for using your information
I use your information:
- with your consent, for the free guide, my emails and any health information
- to deliver a service you've signed up for, as a client
- because I have a legitimate interest in replying to enquiries you've sent me
- because of a legal obligation, for financial and tax records
Who I share it with
I never sell your information. I only share it where it's needed to run Terra, such as with the services that host this website, send my emails and store my files.
Someone who helps me with Terra's communications may see your messages or contact details while helping me reply or manage the email list. They're bound by confidentiality and only use your information for Terra.
Some of these services may store data outside the UK. Where they do, they use legal safeguards to protect it.
How long I keep it
- Enquiries: up to 12 months if we don't end up working together.
- Email list: until you unsubscribe.
- Client records: up to 6 years after we finish working together.
- Financial records: as long as HMRC requires.
Your rights
You have the right to:
- ask for a copy of the information I hold about you
- ask me to correct it or delete it
- object to or limit how I use it
- withdraw your consent at any time
